PR Employee Management Menu for Employee Terminations

The Payroll Employee Management Menu in ERP+ provides a streamlined process for terminating employees.

The PR Employee Management Menu gives you everything you need to terminate employees. Listed below (and shown in Figure 1) are the program options relevant to employee terminations. Each option is discussed in this documentation.

Terminate Employees Program Option

The Terminate Employees program option on the PR Employee Management Menu allows you to terminate one employee or a bulk number of employees.

Once you select Terminate Employees from the Employee Management Menu, you are presented with a selection criteria screen, as shown in Figure 2. The main fields used for employee terminations are described below.

Termination Reason

Select the reason for termination from a list of options (shown below).

Termination Date

Enter the date of termination in this field.

Validate

Check this box if you want to see the Employees List screen (see Figure 3). You can use this screen to determine the status of an Employee record, as well as whether an Employee record can be updated. It validates the Employee record and captures all warnings/errors when inserting it into the termination list.

Some of the fields on this screen can be updated when you open an individual Employee record.

Column descriptions for this screen are described below.

Terminate

Check the box if you would like the Employee to be terminated.

When the list contains more than 20 Employees, no one is marked for termination; when there are less than 20 Employees listed, they are all marked for termination.

Company

The Payroll company. This field cannot be updated.

Employee ID
Full Name
Pay Interval
Union
Trade
Skill
Department
Location

Details about the Employee. These fields cannot be updated.

Termination Reason

You can update the reason for an Employee’s termination.

Termination Date

Enter the date of termination.

Pay Method

Enter the Pay Method.

COBRA Eligible

Check this field to indicate there is a COBRA Enrollment on file.

Has HR Items

Check this field to indicate the Employee has assigned HR Items.

Other Notifications

Check this field to indicate a Notification Message defined by Rules is sent.

Review Required

Check this field to indicate there is a Warning or Error message for the Employee.

Bulk Terminate Report with Options

When you select Output Options at the bottom of the Employees List screen, you are taken to a Bulk Terminate Report with Options selection screen (see Figure 4). Here you can select the information you would like to see on the report, such as the Output Type, Spreadsheet Labels, and Additional Spreadsheet Info.

A sample of the report that results is shown in Figure 5.

Management Rules Program Option

The Management Rules screen (see Figure 6) contains fields describing certain rules to follow for an Employee termination.

Rule Note

The name of the Rule Note.

Job Groups

A comma-separated list of the Job Groups where the rule can be applied.

Job Title

A comma-separated list of Job Titles where the rule can be applied.

Emp ID

The ID Code of the Employee.

Location

The Location of the Employee.

Departments

The Department(s) of the Employee.

Email Template

The name of the Email Template used.

Dormant

Whether the Rule is dormant or not. If dormant, notification messages are not sent.

PR Email Templates Program Option

The PRNOTIFY email template (see Figure 7) is used to set up HR notifications of PR Employee terminations.

The fields in this template are described below.

Template

The name of the template. It cannot be updated.

Description

You can enter a description of the template.

Subject

You can enter the subject of the email by using the Personnel and Employee fields (as detailed in the next section).

Message

You can enter an email message by using the Personnel and Employee fields (as detailed in the next section).

Personnel and Employee Fields

The fields available for use in the PRNOTIFY template are shown in Table 1.

For example, Figure 7 above uses {employee.kno} in both the Subject and Message areas of the email. This is replaced with the Employee ID No. when the email is sent.
