UK Pension Auto-enrolment - Notifications

Employees and pension providers need to receive various notifications relating to the process of enrolment. Coins ERP+ automatically generates notification records as appropriate. In addition, you need to record manually if employees opt into or out of a qualifying pension scheme.

You can manage the notification records either for an individual employee, using the Notifications browse on the Other tab in Employee Maintenance, or using the Employee Notifications browses (one for each pay frequency). These show all notifications (both generated notifications and those added manually) and allow you to add and update notifications manually. This is subject to employee security.

You then need to either run the Notifications Report or use the mail-merge feature on the Notifications browse to send notifications by email, generate merged documents, or generate a spreadsheet that can be used as a data file for a mail merge.

Entry of a notification from the employee to the employer (that is, begins WE) will warn you if the employee is in the calculated state, which will prompt you to reset the employee.

The first and second letters of the code indicate the source and recipient of the notification respectively: E - Employer, W - Employee (Worker), P - Pension Provider. So a code that begins EW is for a notification from the employer to the employee.

One-Off or Multiple

EPCM

Cease Membership. If a valid WEOO has been recorded for an employee outside the opt-out period, Coins ERP+ generates a notification for the pension provider.

Created: Automatically when setting an end date on an employee pension scheme record.

Conditions:

  • Not marked as a refund case.

This may be the result of an opt-out via the pay calculation or manually by the user.

Multiple

EPCMR

Cease Membership and Refund Contributions. If a valid WEOO has been recorded for an employee within the opt-out period, Coins ERP+ generates a notification for the pension provider.

Created: Automatically when setting an end date on an employee pension scheme record.

Conditions:

  • Is marked as a refund case.

This may be the result of an opt-out via the pay calculation or manually by the user.

EPNM

New Member Information (Pension Provider). When Coins ERP+ automatically enrols an employee, Coins ERP+ generates a one-off notification for the pension provider.

Created: Automatically when a pension scheme is added to the employee.

Conditions:

  • The start date is on or after the staging date.

This may be the result of a pension record created by auto enrolment in the pay calculation or by manually adding a pension record to the employee.

One-off

EWE

Entitled Worker. When an employee is first assessed as entitled, Coins ERP+ generates a one-off notification.

Created: Automatically during the pay calculation.

Conditions:

  • The employee is assessed as an entitled worker.

  • The employee is not a member of any pension scheme.

  • The employee does not already have an EWE

  • .

One-off

EWEM

Existing Member Information. If, when an employee is first assessed, they already belong to a qualifying scheme, Coins ERP+ generates a one-off notification.

Created: Automatically during the pay calculation.

Conditions:

  • The employee is already in a qualifying pension scheme.

  • The employee is a jobholder (eligible or non-eligible).

  • The employee does not already have an EWEM or an EWNM.

One-off

EWH

Applying DB/Hybrid Scheme Transitional Period. If, when an employee is first assessed, the transitional period for defined benefit and hybrid schemes applies to the employee, Coins ERP+ generates a one-off notification.

Created: Automatically during the pay calculation.

Conditions:

  • The employee is flagged as using the DB/hybrid scheme transitional period.

  • This is the pay reference period containing the staging date.

  • The employee is an eligible jobholder.

  • The employee does not already have an EWH.

One-off

EWIOO

Invalid Opt Out. If the employer decides to enter a WEOO as invalid, Coins ERP+ generates a notification to the employee.

Created: Automatically when adding/updating a WEOO.

Conditions:

  • The WEOO is marked as being invalid.

  • An EWIOO for this WEOO does not already exist.

This will be deleted again if the WEOO is subsequently updated to be valid.

EWNJ

Non-Eligible Jobholder. If, when an employee is first assessed, they are assessed as non-eligible, Coins ERP+ generates a one-off notification.

Created: Automatically during the pay calculation.

Conditions:

  • The employee is assessed as a non-eligible jobholder.

  • The employee is not a member of a qualifying pension scheme.

  • The employee already has an EWNJ or an EWP.

One-off

EWNM

New Member Information (Employee). When Coins ERP+ automatically enrols an employee, Coins ERP+ generates a one-off notification for the employee.

Created: Automatically when a qualifying pension scheme is added to the employee.

Conditions:

  • The start date of the scheme is on or after the staging date.

  • The employee is a jobholder on this date (eligible or non-eligible).

This may be the result of a pension record created by auto-enrolment in the pay calculation or by manually adding a pension record to the employee.

One-off

EWP

Postponement. If an employee is assessed as eligible but the deferral rules apply, Coins ERP+ generates a notification.

Created: Automatically during the pay calculation.

Conditions:

  • The employee is assessed as an eligible jobholder.

  • The employee is not a member of a qualifying pension scheme.

  • The employee does not have a pre-existing period of postponement (a deferral date set on the employee record).

Multiple

PEMA

Membership Active. When Coins ERP+ auto-enrols an employee in a scheme other than a personal pension scheme, Coins ERP+ generates a notification record without a received date; when you find out that the employee's membership is active, you fill in the date.

Created: Automatically when adding an EWNM notification (as a result of auto-enrolment or manually).

Conditions:

  • The associated pension scheme is not contract based.

Multiple

PWTC

Pension Terms and Conditions. When Coins ERP+ auto-enrols an employee in a personal pension scheme, Coins ERP+ generates a notification record without a received date; when you find out that the employee has received the terms and conditions, you fill in the date.

Created: Automatically when adding an EWNM notification (as a result of auto-enrolment or manually).

Conditions:

  • The associated pension scheme is contract based.

Multiple

WEOI

Opt In/Join Pension Scheme. If a jobholder opts into a qualifying scheme, or an entitled employee joins a scheme, the employer enters a notification manually.

Created: Manually.

Will be processed by the pay calculation in the period following the pay reference period containing the WEOI received date.

WEOO

Opt Out of Pension Scheme. If the employee opts out of the scheme, the employer manually enters a notification. (Coins ERP+ then generates one of the following: EWIOO, EPCM or EPCMR.)

Created: Manually.

Will be processed by the next run of the pay calculation if the opt out is marked as valid.
