Enter Purchase Orders in mTech

This section describes how Mobile Tech can allow you to enter Purchase Orders in the app.

PO Menu Options

When the mobile user ID of a Technician is set up as a Buyer in Procurement and in Maintain User Views, a PO option appears in the app, as shown in Action Menu.

When this option is selected, the app user can view a list all Purchase Orders currently entered against the Service Order, as shown in Purchase Orders.

Purchase Orders

  • Any Purchase Orders not yet committed can be edited up until the point that the Technician commits (or releases) the Purchase Order.

  • A manual refresh button () in the top-right of the screen refreshes the Purchase Orders from the server.

  • Unlike other screens within the Visit in mTech, this screen can be edited before the Visit is started, as well as on future Visits. This allows the Technician to purchase materials for Visits planned to be worked on in the future. Once the Visit is complete, the screen becomes read-only, and the Technician can no longer enter POs.

PO Status

The color coded statuses shown alongside the PO cards are calculated as shown in PO Status.

Draft

Green

Indicates that the Purchase Order has not yet been submitted to the server. The Delete option on the Purchase Order is only available if the Purchase Order is Draft.

Uncommitted

Blue

The Purchase Order exists in Coins ERP+ but is NOT Committed.

Committed

Gray

The Purchase Order exists in Coins ERP+ and is Committed.

Released

Gray

The Purchase Order exists in Coins ERP+ and is Released.

Add Purchase Order

Pressing the + button on the bottom right of the screen allows the Technician to add a new Purchase Order, as shown in Add a PO.

PO Header Entry Details

The following fields are available on the Purchase Order Header details entry screen (if not hidden under SEPOLINEHIDEFIELDS):

Type (only Types set in SEPOORDERTYPES are available for selection)

Supplier

Office

Attention

Order Date (defaults to today’s date)

Due Date (defaults to today’s date)

Description

Type of Work (lookup based on Service Order Cost Head table)

PO Line Entry Details

After completing the Header details, you need to enter a PO Line, as shown in PO Type.

The following fields are available on the Purchase Order Line entry screen (if not hidden under SEPOLINEHIDEFIELDS):

  • Line Type (Material or Stock. The default value is Material.)

  • Code (Lookup: from Commodity Codes if Material; from Stock Items if Stock. If SEPODEFCODE is set, this is the default value.)

  • Description (Defaults from the Code chosen, but you can edit/overwrite it.)

  • Quantity (If SEPODEFQTY is set, this is the default value.)

  • Unit (Lookup defaults from selected Commodity Code/Stock Item.)

  • Price

  • Per (For Stock POs only.)

  • Factor (For Stock POs only.)

  • Amount (For Stock POs only.)

  • Cost Head (Hidden if PO/ALWCHOV1 <> Y. Defaults from the Commodity Code. Lookup from the Service Order Cost Heads, which match the Allowable Work code on the Purchase Order header. If there is only one Cost Head available, this field defaults.)

  • Category (Hidden if PO/ALWCHOV1 <> Y. Defaults from the Commodity Code. Lookup from the comma-separated list of categories on the Service Order Cost Head record. If there is only one Category that can be selected, this field defaults.)

  • NPA (Only displayed if CI/USENPA = Y)

  • Eligible Manufacturer (Lookup from Manufacturer lookup data. Only displayed if CI/USENPA = Y)

View and Edit Purchase Order

Once the PO Header and Line details are completed, a Draft PO appears, as shown in Draft Purchase Order.

On Draft and Uncommitted POs, tapping the Edit button () allows you to edit the Header details that were previously entered.

Delete Purchase Order Header

Draft Purchase Orders can be deleted by tapping the trash icon, as shown in Delete PO Draft. This option is not available on Committed and Uncommitted POs.

Edit Purchase Order Lines

On a Draft PO, tapping an existing PO line allows you to edit the details that were previously entered.

Draft Purchase Order Lines can be deleted by tapping the trash icon, as shown in Delete PO Lines. This option is not available on Committed and Uncommitted POs.

Add Purchase Order Lines

Tapping the + button on the bottom right side of the screen allows you to add additional PO lines to your Purchase Order, as shown in Add PO Lines. This option is not available on Committed POs.

The Technician can create a Material Purchase Order and the Stock Purchase Order for the same Service Order. However, having them both on the same Purchase Order is not allowed.

Buyer limits

When adding or editing a Purchase Order line, the total amount of all lines on the Purchase Order cannot exceed the Buyer’s limit. If it does, the app displays an error, as shown in Buyer Limits Error.

NOTE: A Buyer Limit of 0 (shown in Buyer Limits) means there is no limit.

Save Purchase Order

On Uncommitted and Draft Purchase Orders, two menu options (Save Draft and Save and Commit) are available on the top-right action menu, as shown in Purchase Order Menu Options. Each option is explained below.

Save Draft

The Save Draft option submits the entered information to Coins ERP+ and sends back the Purchase Order number displayed on the Purchase Order card in the app, as shown in Save Draft PO.

Save and Commit

The Save and Commit option submits the data to Coins ERP+ and requests Coins ERP+ to commit the order, as shown in Save and Commit PO.

Save and Release

If committing Purchase Orders is not allowed (that is, if parameter POWFLOW is set to Y and parameter POWFPR is not blank), the option is labeled Save and Release, and the PO is released before the workflow in Coins ERP+ commits it.
