Enroll Employees in Multiple Courses

Overview

The Coins ERP+ Human Resources module gives users the ability to enrol an employee in multiple courses. For example, a Link to Training Course Group action in the Personnel Workbench allows selected employees to be linked to a specific training course group so that they are automatically assigned to any courses in that Group. In addition to this action, other modifications were made in Human Resources to allow multiple course enrolment for employees.

Before you can enrol employees in multiple courses, you need to have training/assessment courses set up in specific Groups. This setup can be done by using the Training/Assessment Groups function in Human Resources > HR Maintenance.

When you select Add on the Training/Assessment Groups screen, it opens with two sections, Trainings and Assessments, as shown in Training/Assessment Groups - Add Record. You can use this screen to select one or more Trainings/Assessments for the Group you are adding.

On the Add screen, select one or more Trainings/Assessments from the Available list and click the right arrow to add them to the Selected list, as shown in Training/Assessment Groups - Details. Any trainings/assessments on the Selected list become part of the Group you are adding.

This section describes how HR Training/Assessments can be used to allow multiple course enrolment for employees.

Main Browse

The Training/Assessments browse screen contains two tabs (as shown in Main Training/Assessments Browse): Training/Assessments and Group Enrolments.

  • The Training/Assessments tab was previously shown as a browse with no tabs. Even though it shares the screen with another tab, its browse remains the same as before.

  • The Group Enrolments tab is discussed below.

A Group Enrolments tab has been added to the Human Resources > Training/Assessments function, as shown in Group Enrollments Tab. This is where you can add and maintain information about Course Group Enrolments.

Field Definitions

Group Code

The code for the course group, which links to a Courses Group Assignment browse.

Date From

The start date of the course being offered.

Ideal # Attendees

The ideal number of Attendees on the Course Master record. The value in this field shows the minimum value against all included in the group courses.

# Attendees

The number of enrolled attendees.

# Courses

The number of enrolled courses.

Archived

Whether the course is archived.

Courses Group Assignment

When you drill on the Group Code field in the Group Enrolments tab, you are taken to a Courses Group Assignment browse, as shown in Courses Group Assignment Browse. This browse contains the following tabs:

  • Group Enrolments

  • Details

  • Add Personnel

  • Enrolled Personnel

The Details tab on the Courses Group Assignment browse is shown in Details Tab. This screen gives you more information about the courses group.

Field Definitions

Type

The type of course, such as Training or Assessment.

Course

The code used for the training course/assessment.

Name

The name of the training course/assessment.

Venue

The venue where the training course/assessment if being held.

Places

The number of places for the training course/assessment.

Start Time

The start time for the training course/assessment.

The Add Personnel tab on the Courses Group Assignment browse is shown in Add Personnel Tab. This screen allows you to add one or more employees to a training course/assessment. You can select employees and then use the enrol Selected action (enrol Selected Action) to enrol them.

Group Enrolments Tab

The Group Enrolments tab on the Courses Group Assignment browse is shown in Group Enrolments Tab. This screen gives you a list of group enrolments for a training course/assessment.

Field Definitions

Code

The code for the course group.

Reference

A reference number, if any, for the course group.

Description

A description of the course group.

From
To

The beginning and end dates for the training course/assessment.

Venue

The venue where the training course/assessment is being held.

Type

The type of course group, such as Training or Assessment.

Places

The ideal number of places for the training course/assessment.

Free Places

The number of free places remaining on the training course/assessment.

Int/Ext

Whether this is an Internal or External training course/assessment.

Expiry

The expiry date of the training course/assessment.

Coordinator

The user who coordinated the training course/assessment.

Enrolled Personnel Tab

The Enrolled Personnel tab on the Courses Group Assignment browse is shown in Enrolled Personnel Tab. This screen includes the status of each employee attending the training course/assessment. Even if an employee may not necessarily be enrolled, you can still select Confirmed, Attended, Successful, etc.

This section describes how the HR Personnel Workbench can be used to allow multiple course enrolment for employees.

Link To Training Course Group Action

A Link to Training Course Group action has been added to the Personnel Workbench, as shown in Link to Training Course Group Action. You can use this action to select one or more employees for enrolment in a training course group. After selecting a Group (such as Daily Task Briefing), an employee is automatically assigned to any courses in that Group.

After you click the Link to Training Course Group action button, you are taken to a Link to Training Course Group selection screen that has the following two tabs:

  • Course/Assessment tab, as shown in Course/Assessment Tab Selection Screen. Use this tab to select a Group Code, then click Next at the bottom of the screen to complete the group enrolment selection. Any linked employee(s) are automatically assigned to courses in that Group.

  • Personnel tab, as shown in Personnel Tab Selection Screen. This tab automatically lists any employees who are already enrolled in the group.
