Maintain HR Lookup Codes

Overview

On various screens throughout the Personnel Workbench, certain fields allow the selection of drop-down values. Examples of such fields are driving licence Types, Disciplinary Reasons, Appraisal ratings, etc.

HR Lookup Codes allows you to modify existing HR lookup values or create new ones.

This topic describes the process for maintaining Lookup Codes in the Human Resources module.

HR Lookup Codes Maintenance

To maintain HR Lookup Codes, navigate to the HR Module and open the HR Maintenance sub-menu. Select the Lookup Codes option.

Filtering Relevant Lookup Codes

Before you can add the lookup codes, you must filter to the relevant data set; for example: if you wish to add the Types of driving licences.

At the bottom of the screen, select the Lookup Type you wish to use from the drop-down menu. In this example, it is the HR driving licence type.

Click Apply Filter.

You must click Apply Filter; otherwise the screen will not be set to the correct code when you start to add/amend.

Adding New Lookups

Add a Code and Description for the value. Click Save

when done.

The new code will be added to the dropdown list for Types of Driving License in the Personnel Workbench screens.

Amending Lookup Codes

To amend a lookup code, ensure that you set the filter at the bottom of the screen to the correct Lookup Code Type and apply the filter.

Select the code to be amended and click Open against the code.

You can amend the Description, but you cannot amend the Code. To prevent unused codes from appearing in the drop-down lists within the Personnel Workbench, click the Dormant tickbox. To reinstate dormant codes, simply untick the Dormant tickbox.

Click Save to save your changes.
