Beginning a Batch of Transactions

Upon starting a new batch entry, Coins ERP+ presents the batch header screen.

Depending on how your system is set up, if you already have open, unposted batches, an Open Batches field displays a list of these. You can select an existing batch to add transactions to, or choose to create a new batch.

The Batch and Reference fields are for reference numbers that identify the batch.

  • The Batch field is for the batch number, an internal reference that Coins ERP+ automatically assigns when you save the batch header. Coins ERP+ generates the batch numbers in sequence. An auditor will need to use these to ensure that the audit trail is complete.

  • The Reference field is for your reference for the batch. This can be any sequence of characters. You can use the lookup to find out which references have already been used. Alternatively, if your system is set up to produce automatic batch references, Coins ERP+ generates the batch reference when you save the batch header.

References and batch numbers need only be unique within the same batch type. Batches of different types may have the same reference and/or batch number. However, payment and cancel cash batches in purchase ledger, sales ledger, Subcontract Ledger, and Contract Sales Ledger share a single sequence of batch numbers, which are controlled by cash bookbatch types.

To enter a batch:

  1. Fill in the fields as shown below:

Period

The financial period that all the transactions in this batch will be posted to. Note that if you want to post transactions to more than one period, you need to enter them in separate batches.

Coins ERP+ automatically fills in the current period for the module you are working in. If the System Administrator has set other periods to be open, you can assign transactions to one of them: select the period.

Transaction Date

The transaction date. Coins ERP+ automatically fills in today's date, but you can enter a different date if you want.

Coins ERP+ uses the transaction date you enter in the batch header as the default transaction date for all the transactions, but you can choose a different transaction date for individual transactions.

Transaction Type

Select a transaction type from the drop-down list.

Coins ERP+ uses the transaction type you enter in the batch header as the default transaction type for each transaction, but you can choose a different transaction type for individual transactions.

For example, if you were entering several invoices and one or two credit notes, you would choose "invoice" for the transaction type in the batch header, and change it to "credit note" for the cheque transactions only. However, it is probably good practice to separate different transaction types in to separate batches.

Description

Enter a description for the batch. Coins ERP+ uses this as the default description for each transaction, and prints it at the top of the audit trail for the batch.

Batch control totals

If the batch has been configured to use batch control totals you will be prompted for these. Coins ERP+ compares these totals with the actual totals of the transactions you enter. At the end of the batch, Coins ERP+ shows you whether the actual totals agree with the batch control totals.

The fields that are available as batch controls can be different for each batch type.

  1. When you have finished filling in the batch header information, clickto go on to entering the transactions.
