Reviewing new prospects

The Prospects Workbench includes the option to review new prospects received from external sources such as the Property Portal or HS Connection interfaces, or your website. This lets you check for duplicates and merge new details with a current prospect record already in Coins ERP+.

If the link in the Possible Duplicates column shows No Duplicates Found, and you are confident the information on the new record is complete enough, you can mark it as reviewed:

  1. Select the record or records.

  2. In the action menu, choose Mark as Reviewed and click Apply Action ().

To view and update the content of a record on the To Review tab:

  1. Click the link in the Surname column; this takes you to the prospect summary screen.

  2. Update the record (for example, fill in any missing details).

  3. When you are ready, click thebutton.

    This takes you to the Review Possible Duplicate Prospects screen.

To view the possible duplicates for a record on the To Review tab:

  1. Click the link in the Possible Duplicates column.

    This takes you to the Review Possible Duplicate Prospects screen.

The Review Possible Duplicate Prospects screen shows a list of potential duplicates and details the fields that match. You can get to it by clicking thebutton from a new prospect record, or by clicking the link in the Possible Duplicates column of the To Review tab.

  • To merge the new, imported record with one of these potential duplicates

    1. Click the relevant Merge () button in the right hand column.

      You are presented with a screen where you can choose the fields to merge and also revise the level of interest.

    2. Tick the boxes in the Update? column for the fields you want to update with the personal details from the new record.

    3. The new record may be a different person – for example, a spouse – but share some of the same details as the existing ‘potential duplicate’ prospect. If so, and if you want to add them to the prospect record as a new person, tick the Add New Person ... Instead of Merging Personal Details? box.

    4. Click Save (Save Icon) .

      This updates the current prospect record with the selected new information and deletes the imported prospect record.

  • If the new record is not a duplicate

    1. Click the Set as Reviewed button.

      This shows you the header screen.

    2. Click Next (Next Icon).

      This creates a new prospect record from the imported record.
