The Activity Workbench acts as a combined appointments diary and "to do" list. You can record activities (appointments or tasks) for yourself, or assign them to other users. Several programs throughout Coins ERP+ can generate entries in the workbench automatically as a result of other processes. Activities are also called actions.
If new activities are assigned to you, the indicator on your profile picture (in the page header at the top of the screen) shows the number of activities:

You can either:
Click Activity Workbench on the user menu. This opens the Activity Workbench in a new frame.
Click a link on the Actions menu. This opens the action in the Activity Workbench.

The workbench has different views and various filters, allowing you to see, for example, all tasks and appointments for today, all new (unread) tasks and appointments, all outstanding tasks, multiple day view and other users' activities.
On the Appointments and Tasks tabs, Coins ERP+ highlights overdue activities in red.
Coins ERP+ can update Microsoft Outlook® regularly with tasks and appointments from the Activity Workbench, so you can keep track of Coins ERP+ activities and entries from outside Coins ERP+ in the same place.
Configuration
To set up the different types of appointments and tasks, and the colours to use for different types of appointments on the Diary view, use Action Types.
To control which other users' activities each user can see in the Activity Workbench, use Activity Workbench Access Maintenance, or the Activity Workbench View and Activity Workbench Update fields on the Preferences tab of User Workbench.
Troubleshooting
Error HS842 – user removed from the Activity Workbench
Error HS842 occurs when a process, such as releasing a purchase order (PO) to workflow, attempts to assign an activity action to a user who has been flagged as removed from the Activity Workbench. This commonly affects project managers: if the project manager on a job has Remove From Activity Workbench checked on their user record, any workflow that tries to send them an action (such as a PO or invoice release) fails with this error, even if they appear to be correctly set up elsewhere.
⚠️ Important: This is separate from the Activity Workbench View and Activity Workbench Update permissions, which control whether a user can see other users' activities.
The Remove From Activity Workbench checkbox removes the user from participating in Activity Workbench actions entirely.
To resolve error HS842:
Go to User Workbench.
Open the record for the user named in the error message.
Locate the Remove From Activity Workbench checkbox.
Clear the Remove From Activity Workbench checkbox.
Save the changes and retry the PO or invoice release.
