The Cash Profiles module lets you reanalyse contract information about cash movements held in Contract Status, so that instead of being shown in conventional accrual accounting terms, it is presented and dated when the actual physical cash associated with the transaction moves in or out. In this way, you can analyse for each contract, by period, whether it is cash positive or cash negative. This module is not a cash forecasting system.

When you turn Cash Profiles on (see CP Configuration), Coins ERP+ starts to generate cash profile information automatically. Once Cash Profiles is running, Coins ERP+ takes into account the following transactions when creating a cash profile:

  • Tracking of all contract cash movements for both revenues and costs

  • Current cash position for each contract

  • Actual cash flow enquiries and reporting by contract

  • Optional notional interest calculation

  • Fully integrated with all other Coins ERP+ modules

Features of this module include:

CP Configuration

To set up Cash Profiles, you need to:

  • Use the GL parameter CPJRNLS to identify which General Ledger transaction types are Cash Profiles transactions.

  • Use the CP parameter CPROFILE to turn on Cash Profiles.

  • Set up global (company) interest rates and, if necessary, interest rates for individual contracts.

You may also need to enter or create initial balances for existing contracts by using Cash Profile Recalculation and Entering Take-on Balances.

If you want to post contract cash journals from Payroll, you must also set the PR parameter CPROFILE to Y.

Cash Profile Parameters

Please ensure you understand the implications of changing a parameter before doing so. Any parameter changes should be fully tested and approved in a non-live environment before being made in a live environment. If you are in doubt, contact Access Coins first.

CP/CANTDATE

Use Batch T/Date for Cancellations

Whether to assign the Cash Profiles transaction date for a cancelled transaction from the cancellation batch transaction date or the cheque date of the original payment or receipt.

Y = Assign the transaction date for a cancelled transaction from the cancellation batch transaction date.

N = Assign the transaction date for a cancelled transaction from the cheque date of the original transaction.

CP/CASHADJ

Cash Adjustment T/Types

A list of Cash Book transaction types that Sector Cash Profiles recognises as Cash Adjustment transactions.

Cash Book transactions with one of these transaction types affect the bank balance in Cash Book but are not included in cash profile reporting. This allows you to make adjustments to Cash Book without affecting the cash profile.

CP/CPCCCAT

Interest Journal Cost Code/Category

The cost code and category to post interest to on the contract.

A standard cost code and category are required on every contract to which interest will be posted.

CP/CPCTRL

Interest Journal Control

The control account to balance the interest posted to contracts.

CP/CPROFILE

Perform Cash Profiling

Whether to use cash profiling (Y or N).

When you set this to Y, COINS starts to generate cash profiles against contracts.

CP/CPTTYPE

Interest Journal T/Type

The transaction type of the cost/revenue transaction to post the interest calculated to contracts.

This should not be one of the transaction types in the GL/CPJRNLS parameter; otherwise, the posting would create further interest to be calculated.

CP/EFFTDATE

Override to JC EFFTDATE parameter

Whether to override the effect of the JC parameter EFFTDATE.

The JC parameter lets you use the Eff date field as the transaction date if you are using identical financial dates and valuation dates.

CP/INT+

Notional Interest Rate (Credit)

The Notional Interest Rate for credit balances between divisions.

CP/INT-

Notional Interest Rate

The Notional Interest Rate for debit balances between divisions.

CP/NOTCSH

Notional Cash T/Types

If you want to record notional cash separately, enter a list of General Ledger transaction types that Cash Profiles treats as notional cash journals.

These must also be included in the GL/CPJRNLS list.
