Development Re-Plans in Coins ERP+

If you change the plots you plan to build on a development (for example, not building certain plots, building additional plots, or replacing plots with different house types), this has various implications for different functions in Coins ERP+.

The table below explains these.

Bills

All bill items for the deleted plots will be deleted automatically.

Apply existing site house type bill to new plots.

Create new site house type bills and apply to new plots.

Create Orders

Plots cannot be deleted if orders have been created for them. **

For materials: you can add new plots as a variation order to an existing order.

For subcontracts: New plots will create new orders - not variation orders to previous orders.

Coins ERP+ will prompt user with variation order required and these can be automatically created.

House Sales

Sales Workbench

A plot cannot be deleted if any events have been recorded (but the events can be deleted first if required). **

Input all information for new plots as normal.

Input any amendments to sales information as normal.

Sales and Construction Forecast

Forecast for deleted plots will be automatically deleted.

Input forecast dates and prices for new plots as normal.

Input any amendments to forecast dates and prices for changed plots as normal.

VAP

Matrix Orders

A plot cannot be deleted if it is included in any matrix subcontract. **

New plots can be added to existing matrix subcontracts provided these were not created from BQ subcontract orders.

If the order was created from BQ it will be automatically changed; otherwise will need to be updated by manual input.

Budgets

Budget for deleted plots will be automatically deleted.

Either run the option to update budgets from BQ for changed plots, or rebuild plots from house types.

tick Sheet Valuation

A plot cannot be deleted if any ticks have been input for it. **

Input all information for new plots as normal.

Dependent on the configuration, the valuation on any 100% ticked items may be automatically recalculated based on new budget figures.

Purchase Orders

Orders for specific plots

A plot can be deleted provided that the orders were not created from BQ as these are linked to the costing section which will not be deleted. **

New plots can be added as new lines on variation orders to existing orders provided these were not created from BQ.

If not raised from BQ, any order variation orders will need to be calculated manually and input in the normal way.

Contract Status

Plot Costing

Deletion of a plot will not delete the costing section for the plot if there are any costs on it.

Plot costings for new plots from all sources as normal.

Existing cost transactions are unaffected and costs can continue to be posted as normal.

customer care

Calls

A plot cannot be deleted if there is a call recorded against it. **

Input all information for new plots as normal.

customer care is unaffected by house type changes.

* Note that Coins ERP+ Land Management stores the lists of house types and plots against each appraisal and Coins ERP+CVR stores the list of plots against each CVR, so these modules are unaffected by development re-plans - each appraisal/CVR will reflect the site plan as it was recorded at the time.

** If a plot cannot be deleted then it can be changed to "non-sellable" and any costs and other information can be manually transferred/cancelled/deleted as appropriate.

*** A plot can change house type at any time (a warning message will be displayed once VAP budgets exists, but this can be overridden.)
