Reverse a posted stock GRN

Use this guide to understand how posting a stock GRN updates inventory quantities at your stock location, and how to reverse a GRN that has been incorrectly posted in Coins.

A stock goods received note (GRN) in Coins records the physical receipt of stock items against a purchase order, updates your inventory quantities, and creates an accrual for month-end reporting. Use these steps to post a stock GRN and, if needed, reverse one that has been posted incorrectly.

You need access to stock GRN functionality in Coins to complete these steps.

Note: If the purchase order (PO) parameter AUTHRGRN is set to Yes for the contract, the GRN is created automatically. If not, create a GRN manually.

  1. Open the line and enter the quantity delivered.

  2. Save the line and click Next. In a standard GRN process this is the final step, but for a stock GRN you must also post the GRN batch to update the quantity at the stock location.

  3. Post the batch as seen below.

Note: Stock GRN batches created will not have delete button as this will mess up quantity and GRN numbers etc.

Now if you check the stock balance at location you can see that stock balance is updated.


Reverse a posted stock GRN

Reverse a GRN to restore the location balance and remaining commitment. Do this if the GRN was posted incorrectly, goods are being returned to the supplier, or items have been damaged.

  1. Open the GRN and select the lines.

  2. Set the quantity delivered to 0. If goods were rejected, enter the Quantity Rejected

  3. Save the line and click Next.

  4. Post the GRN batch.

Once the reversal batch is posted, check the quantity at the location. The balance reduces to reflect the quantity reversed — for example, from 300 to 150 if 150 items were reversed.
