Task List
After opening the app, you will be taken to the Tasks screen, with the To Do tab opened by default. This tab contains the list of tasks that have been assigned to you. They will be sorted by due date, with the task with the earliest due date at the top of the list.
The task type is represented by the letters within the circle on the left of the task panel.
Tasks which are overdue have red circles, tasks which are due within a certain number of days (configurable in the web module) have orange circles and tasks due after that number of days have green circles.
At the top of the screen you can switch tabs to History or In Query. The History tab shows tasks that you have already made an “Approve” or “Reject” action against, or that another user has already taken any action against. The In Query tab shows tasks you have made an “In Query” action against.
A blue dot in the top-right corner of a task panel or tab heading is an indicator that the task is unread, or that the tab contains unread tasks. Tasks lose their unread status after you open them or perform an action on them. To change a task back to unread, swipe right on the task then tap the Unread button.
New tasks are periodically synced in the background, however you must still manually pull to refresh the list to see any new tasks. When new tasks are available to view, an amber notification banner will appear at the top of the list.
Filters
Filters can be applied to the task list to make it easier to find the tasks you are looking for. To begin applying filters, tap the filter button in the top-right of the screen.
The Read/Unread filter allows you to view only read or unread tasks. In the Due Date filter, you can enter a range of dates to view only tasks due between those two dates.
To filter by task template, tap the Template filter, then select a template from the list and tap the back button. Select All Templates to view tasks from all templates.
Below the Template filter, you can add filters to individual variables. The variables to which you can add filters differ depending on the template you selected. There are four general types of variable filter: free-form, lookup, date and amount.
Freeform
Tap the field to open your phone keyboard, then enter a key word or phrase and tap DONE.
Lookup
Tap the field to open a list of all the possible values of this variable.
In this example it is a list of possible suppliers. Select the desired values by tapping the circles on the right side of the screen. The circles will fill with ticks
to indicate they have been selected. When you are done, tap the tick
in the top-right of the screen.
Date
Tap the From field to open the calendar lookup, then select the earliest desired date for this variable and tap OK.
Now do the same for the To field, selecting the latest desired date.
Amount
Tap the first field to open the number pad, then enter the lowest desired value for this variable and tap DONE. Now do the same for the second field, entering the highest desired value.
To remove all filters, tap the CLEAR ALL button in the top-right of the screen. When you have finished setting filters, tap the APPLY button at the bottom of the screen to apply them to the task list.
Managing a Task
Actioning a Task via Quick Actions
Swipe left on the task you wish to take an action against. This reveals up to three main actions you can take against the task, as well as an ellipsis button.
Tap the action you wish to take. If the action you wish to take is not one of the three displayed, tap the ellipsis button to open the full list of available actions and select it from there.
Depending on the action, there may some additional steps you must take before it goes through. Complete the fields, then tap the bold button at the bottom of the screen to confirm the action.
Actioning a Task from Task Details
You can view attachments and additional information related to a task before taking an action against it by viewing the Task Details.
Tap the task you wish to take an action against to open it.
If there are any documents or images attached, you can tap to view them in full screen (with pinch and zoom enabled). If there are multiple documents or images, the number in the top-right shows you which one you are currently viewing.
If any of the documents or images failed to download, you will see an error message at the bottom of the screen alongside a Retry button. Tap the Retry button to attempt to download the failed document or image.
Once you press Retry, the message will update to show that the data sync is in progress. There is a mandatory thirty second timer between attempts. Once the timer ends, the app will either pull the documents or produce another error message.
Tap the info box to open the Task Details screen. This screen contains all relevant information for this task. If there is a Contact Information section, you can tap the buttons to call or email each contact.
Up to three main actions available against this task are displayed as buttons at the bottom of the screen. To view any additional actions available against this task, swipe up on the top of the action bar. Any additional main actions will be marked with a colour accordingly. Tap the action you wish to take.
Depending on the action, there may some additional steps you must take before it goes through. Complete the fields, then tap the bold button at the bottom of the screen to confirm the action.
Actioning Multiple Tasks via Multi-Select
You can action multiple tasks at once using the multi-select function. Multi-select only works on tasks that have the same template, actions and contract and which are at the same stage.
Tap the circle on the right side of a task panel to select that task. Once you select the first task, the action panel will appear at the bottom of the screen and other tasks with different templates, actions, contracts or stages become unavailable to select. You can select up to fifteen tasks. The number of tasks you have selected is displayed at the top of the action panel.
Once you have selected every task you wish to action, select the desired action from the action panel. The selected action will be applied to every selected task.
If the action you selected requires you to fill mandatory fields, the values you enter will be applied to every selected task. For example, if you reject ten tasks and must enter a reject reason, the reason you enter will apply to all ten tasks.
Finally, tap the bold button at the bottom of the screen to confirm the action.
Expense Report Tasks
If you are a Task Management mobile user as well as an Expenses approver, there is a setting you can enable which allows you to receive and approve/reject expense reports within the Task Management app (see Expenses-Task Management Integration).
The expense report approval process is more limited in Task Management compared to Expenses. You can approve or reject expense reports, however individual claim items cannot be approved, rejected, edited or have notes added to them.
Expense report tasks have the EX task type.
Like any other task, expense report tasks can be processed via quick actions by swiping left on the task. You can use this to quickly approve or reject an expense report from the task list.
To view more details of the expense report, tap the task to open it.
Tap the PDF file to view it in full, with pinch and zoom enabled. The PDF report contains a list of all the expense items as well as any receipt images attached.
You can also tap the “i” button to view the report details.
When you are ready to process the report, tap either Approve or Reject at the bottom of the screen. You will be prompted to add a reason for the approval or rejection, which will be visible to the claimant when they view the expense report – this step is not mandatory. Tap Approve or Reject once more to confirm the action.
