Issue Management - Mobile App

The Issue Management home screen is split between two tabs: Issues and Tasks. The Issues tab contains every issue linked to your selected contract that has been created.

Managing the Issues and Tasks Lists

This includes issues created from the Issue Management mobile app and web module, as well as from the Checklists app. The Tasks tab contains a list of tasks which are assigned to issues linked to your selected contract. Both tabs have a search bar, in which you can search for specific issues or tasks by subject, owner, status and due date. Tap on an issue or task to open it and view its full details.

Filtering

Click the filter button to open the Issue Filters or Task Filters screen. On these screens, you can apply numerous filter criteria to restrict the issue and task lists.

When you have finished selecting filter criteria, click APPLY to apply the filters. Note that issues and tasks must match all filter criteria to be displayed in the list.


Creating an Issue

  1. Tap the plus button A white cross in a black circle

Description automatically generatedon either the Issues or Tasks list to open the Create Issue screen.

  2. To add a photo of the issue, tap Add Attachments. Select Camera to open your camera and take a photo or select Library to choose a photo from your camera roll. You can add multiple photos if you wish. You can annotate the photo using the arrow, pencil and circle tools if necessary.

  3. Complete the fields as follows. The mandatory fields are marked with a red asterisk.

Select Template

If issue templates exist for this contract, you can select one if you wish. Selecting an issue template will automatically fill most other fields with the values from the template.

Enter Subject

Enter a short description of the issue. This will be displayed in the Issues list.

Select Priority

Select a priority to indicate how urgent the resolution of the issue is.

Reported by

This is the person reporting the issue. It is auto filled with your name, but if you are reporting the issue on behalf of someone else you can select them from the list.

Issue Owner

Select which user will be the issue owner. This is the person who will be responsible for reviewing tasks related to the issue and eventually closing the issue.

Select Distribution

Select which distribution lists, if any, you would like to attach to this issue. If you attach a distribution list, everyone on that list will receive email updates whenever the status of the issue changes.

Assign Task

Tap to open the Tasks screen and begin creating a task linked to this issue. See Creating a Task for further instructions.

Due Date

Enter the due date for the resolution of the issue.

Type

Select which issue type best describes the issue.

Cause

Select the cause of the issue from the list.

Private

Tap the switch if you wish to mark this issue as private. Private issues are visible only to the issue owner, the reporter of the issue and anyone assigned to a task linked to the issue.

Description

Enter a more detailed description of the issue if necessary.

Schedule Impact

Tap the Schedule Impact field and select the most applicable option, then enter the number of days (if any) by which this issue will delay the overall build schedule.

Cost Impact

Tap the Cost Impact field and select the most applicable option, then enter the cost of fixing the issue (if any).

Critical Path Impact

Tap the switch to mark this issue as Critical Path Impact if the issue will prevent further work being done on the plot until it is resolved.

Tap CREATE ISSUE to save the issue.


Creating a Task

Tasks must be linked to an issue and can therefore only be created from within the Create/Edit Issue screen.

To begin adding a task to an issue you are creating, tap Assign Task on the Create Issue screen.

To begin adding a task to an existing issue:

  1. Tap to open the issue from the Issues list.

  2. Tap Edit to open the Edit Issue screen.

  3. Tap Assign Task to open the Tasks screen.

  4. Tap Add Task to open the Create Task screen.

Complete the fields as follows. The mandatory fields are marked with a red asterisk.

Task Subject

Enter a short description of the task. This will be displayed in the Tasks list.

Trade

Select the trade of the person who will be assigned to this task.

Due Date

Enter the due date for the completion of the task.

Company

Select the company of the person who will be assigned to this task.

Assignee

Select a person to assign to the task.

Cost Code

Select a cost code to link to this task.

Instructions

Enter instructions for how to complete the task if necessary.

Tap DONE or Save to save the Task.


Processing Issues and Tasks

Issues

To close an issue, tap to open it from the Issues list, then tap the MARK ISSUE AS CLOSED button at the bottom of the screen. Any “Pending” tasks linked to the issue will automatically be marked as “Resolved” when you close the issue. Note that if the issue has any linked tasks with the status “In Process”, the button will be greyed-out and the issue cannot be closed until the tasks are resolved.

To reopen a closed issue, tap to open it from the Issues list, then tap the RE-OPEN ISSUE button at the bottom of the screen.

Tasks

Issue Owner:

When work is ready to commence on a task, it must be released. To release a task, tap to open it from the Tasks list, then tap the RELEASE TASK button at the bottom of the screen. The task status will update to “In Process” and the assignee will receive an email notification. If the issue it is linked to was in “Draft” status, it will automatically be updated to “Open” when you release the task.

To recall a task after you have released it, tap to open it from the Tasks list, then tap the RECALL TASK button at the bottom of the screen. The task status will revert to “Pending” and the assignee will receive an email notification.

Task Assignee:

Before you send a task review, you may wish or need to add a task resolution and attach a photo to the task. One or both may be mandatory depending on your contract configuration.

Once you have completed work on the task, you must send it for review. To send the task for review, open it from the Tasks list, then tap the READY FOR REVIEW button at the bottom of the screen. The task status will update to “Ready for Review”.

Issue Owner:

Once a task has been sent for review, you can either send it back for rework if you believe it has not been properly completed or resolve the task. To do this, tap to open the task from the Tasks list, then tap either SEND FOR REWORK or MARK AS RESOLVED from the bottom of the screen.

If you send the task for rework, the task status will update to “Rework” and the assignee will receive an email notification.

If you resolve the task, the task status will update to “Resolved”. If there are no other pending or in process tasks linked to the issue, you will be asked whether you would also like to close the related issue.

To reopen a previously resolved task, tap to open it from the Tasks list, then tap the RE-OPEN button at the bottom of the screen. The task status will revert to “Pending” and if the issue it is linked to was closed, the issue status will revert to “Open”.
