Super Administrator privileges allow you to perform sensitive tasks in COINS ERP+ that are not available through standard administrator access. To activate them, you need a single-use passkey provided by the COINS ERP+ support team.
When you need Super Administrator privileges
Super Administrator privileges are required for the following tasks:
Updating SC Definitions (when in use on subcontracts).
Updating CS Definitions (when in use on contract series).
Changing GL account structure.
Authorising an override of Irish PL and SC payments.
Running toolbox functions.
📌Note: This is not a definitive list; the task that you are trying to perform may not be listed but may still require Super Administrator privileges
Before you start
You must be logged in as an administrator. An administrator is a user whose ID is listed in the Administrators field in Module/Licence Maintenance. If you do not have administrator access, ask your system administrator to contact support on your behalf.
⚠️ Important: Before contacting support, navigate to User Menu and select Super Administrator Privileges in COINS to generate your passtoken. The passtoken expires after five minutes, so have it on screen before you reach out to the support team.
How the passtoken and passkey system works
COINS uses a two-step security process to grant Super Administrator access:
When you go to Super Administrator Privileges, COINS generates a unique passtoken displayed on screen.
You share the first few characters of your passtoken with the COINS ERP+ support team.
The support team uses your passtoken to generate a matching passkey and provides it to you.
You enter the passkey in COINS to activate Super Administrator privileges for your current session.
Request a passkey
In COINS, go to User Menu, then select Super Administrator Privileges.
Note the passtoken displayed on the Super Administrator Privileges screen.
Contact COINS ERP+ Support and quote the first few characters of the passtoken. If you are using the Access Digital Assistant, share the characters with the support agent in the chat. They can provide the passkey without you needing to use a separate support channel.
In the Passkey field, enter the passkey provided by COINS ERP+ Support. The passkey is case-sensitive.
Click Next. An alert confirms that Super Administrator privileges have been granted.
⚠️ Important: The passtoken is valid for five minutes. If you do not enter the passkey within this time, refresh the screen to generate a new passtoken, then contact support again with the updated characters.
📌 Note: Super Administrator privileges last for the current session only. If you close COINS and reopen it, you need to repeat this process.
