If your auditors require adjustments to a financial year that has already been closed in COINS, you can temporarily reopen it using the Change Financial Year function. This requires Super Admin access and should be carried out carefully to avoid disrupting your current financial year.
⚠️Important: Super Admin privileges are required to access the Toolbox. Test this process in your non-live environment before making changes in live.
Reopen a closed financial year
Use this process when you need to post journals or audit adjustments to a financial year that has already been closed via the Year-End routine.
Go to System > Toolbox > General Ledger > Change Financial Year.
Select the financial year you want to reopen.
Save your changes to reopen the year for posting.
Post the required audit adjustment journals.
Close the financial year again once all adjustments are complete.
⚠️Important: While a previous financial year is open, you may not be able to post to your current financial year, depending on your configuration. Carry out this process outside of working hours where possible.
When to use this process
This process is intended for situations where:
Auditors require corrections to be posted in a specific closed financial year.
A transaction was posted in the wrong year and needs to be reversed and reposted.
A period that should have been included in the previous year was missed before the Year-End routine was run.
Audit adjustments do not require a dedicated routine in Coins; they are entered as standard journals. If the financial year has not yet been closed via the Year-End routine, you can still post directly to it without using this process.
