Resolve an 'in use' error when deleting a Job Calculation

Explains why a Job Calculation may show as 'in use' and cannot be deleted, and how to resolve it using the dormant flag.

When you try to delete a Job Calculation, the system may show an 'in use' error even if the calculation has never been applied to a payroll run. This happens because the system validates deletion eligibility by comparing the calculation's effective date against job history and payroll history dates — not by checking whether the specific calculation was used.


Why the error occurs

The system checks whether any payroll history has been posted in a period whose effective date falls within the date range of the Job Calculation. If it finds a match, it treats the calculation as in use and prevents deletion — regardless of whether the specific Job Calculation record was referenced in that payroll run.

This means a Job Calculation entered with the wrong date may still show as in use if other payroll history exists within the same date range.


Resolve the error

If you cannot delete the Job Calculation, use one of the following options.

Mark the record as dormant

Marking the Job Calculation as dormant removes it from active use without deleting it. The record is retained in the system but will not be applied to future payroll runs.

  1. Open the Job Calculation record.

  2. Select the Dormant flag on the record.

  3. Save the record.

Update the amounts to match a correct calculation

If a correct Job Calculation already exists with a later effective date, you can leave the incorrect record as non-dormant and update its amounts to match the correct values. The later-dated calculation will take precedence for future payroll runs.

📌Note: If you entered the Job Calculation via bulk upload with the wrong date, the same resolution applies. Mark the incorrect record as dormant or update its amounts to match the correct calculation.
