Shared folders allows several users to access one or more shared folders in addition to their own home directory.
This is intended to remove the need for SAMBA shares (which are increasingly a security concern) to allow users to share files within Coins ERP+. These folders might be used for example for BACS files, by configuring a parameter to place a BACS output file in a shared directory so that a different user can download the file and process it with the bank.
Setup
The shared folders required are configured by the system administrator using the Shared Folders function on the System Setup menu.
Saving a record will create a directory, if it does not exist, in $BASE/var/home with the specified directory name (in lower case). Do not use a user ID as this is where the user’s home directories are also stored. If you delete a directory, it and its contents will be removed.
The Read Function and Write Function control which users have access to this directory. These functions must be set up in Function Maintenance. The functions can be called anything you want; you then need to set the user function access to these functions, to control access to the shared directory.
You can use the same function for both read and write permissions, and for different directories, if required. If the user has access to the function, the corresponding read/write capability will be made available. The function access is granted in the same way as would normally be done for functions on menus.
My Files
If shared folders have been set up, an additional body selector or combo is shown on each of the “My Files” tabs.
On the My Files tab, the selector allows you to pick your own home directory or one of the shared directories to which you have READ access.
The Get File tab has a combo selector to allow you to get a file from a specific folder. This is just another option to get a file and provides the same functionality that is available on the My Files tab by selecting the appropriate folder.
You can only GET files from directories to which you have been granted access to the READ function as defined on the shared folder configuration.
The GET will default to your home directory.
Similarly, the Put File tab allows you to select the target folder for the uploaded file.
You can only PUT files to directories to which you have been granted access to the WRITE function as defined on the shared folder configuration.
