Setting up a Network Scanner Location

I'm trying to import scanned images under Document Management. However, the Scanner Location drop down box is blank

To set up a Network Scanner Location

The option to use OneDrive is only available if you are logged in via Microsoft AAD and have AAD permissions granted. To do that:

  1. Go to Document Management

  2. Then select Setup

  3. Click Configuration

  4. Select Network Scanner Locations

  5. Click Add () to add a new location

  6. Enter a name to identify the location

  7. Enter the Server Path to the location of the directory on the Coins ERP+ server that will hold the files that are to be uploaded to Document Management

    • The directory must be under the $BASE directory.

    • Each Network Scanner Location must refer to a unique directory, unless you are setting up a OneDrive folder.

  8. Select the Source

  9. If you are using Coins ERP+ Document Uploader or OneDrive, enter the Local Path:

    • For Coins ERP+ Document Uploader, this is the path to the folder on the local computer where documents will be placed.

    • For OneDrive, this is the name or path of the folder within the base folder on SharePoint where documents will be placed before being imported. If the folder doesn’t exist, it will be created.

      You also need to enter the following:

      1. SharePoint URL. The SharePoint site that contains the OneDrive drive.

      2. Document Library. Select one of the drives that are available on the site.

      3. Base Folder for NSL. Select an existing folder in the Document Library drive. This folder will contain the folders that correspond to the network scanner location. Coins ERP+ creates the Local Path folder under this, if it does not exist.

  10. Click Save ().

Note: For a OneDrive NSL, Coins ERP+ checks that OneDrive is accessible from Coins ERP+ for the current logged-in user and that the Base NSL folder specified on the location record exists and is accessible.

Note: For OneDrive only, repeat the above steps to set up a second location that uses the same server path, but has Source set to Server.

This is because at the beginning of the import process, the files are copied into the specified server location and deleted from the remote location specified in the Local Path column. If the import fails for any reason, the files can still be processed from the secondary location.

To restrict which users have access to a Network Scanner Location

To do that:

  1. Use Document Management

  2. Click on Setup

  3. Then select Scanner Location Security.


Parameters for Integration with OneDrive

The Domain in the URL of the SharePoint site must be listed in DMEXTDWL.

Allow list for sites to be considered as safe for external file links:

  • A comma-separated list of websites that can be considered safe to allow links to be stored from.

  • This must be set as a vault parameter only. If no value is set in the vault, external file links will not be permitted.

  • Wildcards are accepted.
