HR & PR Control of Termination Dates

Overview

Previously, when the PRHR Company parameter was used (to ensure employee record management between HR and PR modules), the HR Personnel leaving date was disabled and could not be entered since it is synced with the PR Employee leaving date. For example, if an employee handed in their notice, the HR user was unable to enter the last day of service on the leaver employee screen.

For the UK Region, this occurred because the Employee leaving date is tied to PR processes to Financial Periods; consequently, the leaving date in HR was only updated when the PR leaver employee status eventually reached number ‘2’, which was after the employee had left. This process resulted in the following issues:

  • Caused the management of large scale redundancies or normal leaver employee processes to be difficult.

  • Forced users to create fields or use the HR ‘status’ flag to denote a leaver employee.

  • Produced inaccurate HR reports since employees would often have left but still remained current until Payroll processing was completed.

In an effort to alleviate these issues, Human Resources allows the entry of the leaving date from the Personnel screen, even if the CO/PRHR parameter has been set, as long as the parameter HR/HRPRLEAV is set to WORKBENCH.

A Company parameter called HRPRLEAV is available in the Human Resources module. When set to WORKBENCH, you can enter the leaving date from the HR Personnel screen, even if the CO/PRHR parameter is set. If left blank, the HR Personnel leaving date acts as it currently does.

HRPRLEAV

HR to Payroll Employee - Allow Personnel leaving date to be updated when PRHR has been set to sync PR fields to HR fields.

The options are:

  • [Blank] - No change in functionality and leaving date is not updateable if PR fields sync to HR.

  • WORKBENCH - Linked to PR Requests Workbench. You can enter the Personnel leaver field in HR and send a request to Payroll to start the leaver process before the employee has left. If the request is accepted, the Employee leaving date is updated with the Personnel leaving date.

When the HR/HRPRLEAV parameter is set to WORKBENCH, and a Personnel leaving date is entered, a record is created in Payroll > [pay frequency] > HR Requests, and the Employee leaving date is not set until the PR Request has been accepted or an Employee leaving date has been entered in PR Employee Maintenance. Entry of the leaving date from Payroll automatically closes out the PR Request, if it is on file.

HR Personnel Workbench

The leaving date shown on the HR Personnel Workbench > Personnel Summary > leaver employee screen (see leaver employee Screen) is open for update if the following are true:

  • The CO/PRHR parameter has been set to sync PR fields to HR;

  • The HR/HRPRLEAV parameter has been set to WORKBENCH; and

  • The linked PR Employee has a leaver employee Status of Not a leaver employee or Leaving this Period.

HR Requests

Personnel Workbench

An entry is created in Payroll > [pay frequency] > HR Requests (HR Requests Screen) when (1) the leaving date has been entered or changed on the leaver employee tab in Human Resources > Personnel Workbench > Personnel Summary, and (2) the HRPRLEAV parameter has been set to WORKBENCH.

Once the HR Request is created, it appears on the HR Requests screen in the Request Type and Description columns with the following information (not shown on the screen below):

  • Request Type = leaving date

  • Description = Requested Employee leaving date

Approval

When a leaving date HR Request is Approved in Payroll > [pay frequency] > HR Requests (date is selected and Approve action shown in HR Requests Screen is run), the following occurs:

If the Employee has not already left and has a leaver Status of 2 or 3, then:

  1. A message is displayed to the user.

  2. The Request is Rejected.

  3. The Request is archived.

If the Employee has not already left and has a leaver Code of 0 or 1, then:

  1. The Employee leaver Code is set to 1.

  2. The Employee leaver Date is set to the date on the request.

  3. The Request is Approved.

  4. The Request is archived.

Rejection

When a leaving date HR Request is Rejected in Payroll > [pay frequency] > HR Requests (date is selected and Reject action shown in HR Requests Screen is run), the following occurs:

  1. The Request is Rejected.

  2. The Request is archived.

  3. Alerts are updated.

PR Employee Maintenance

When you select a leaver Code of 1 or greater (see PR Employee Maintenance), and an open HR Request is on file, it is used to default the leaving date into Payroll > Employee Maintenance > Employee Details > General tab, as shown in PR Employee Maintenance.

Once saved, and the leaver Code is 1 or greater, the system checks to see if there are any open HR Requests for that employee. If the leaving date matches, the request is accepted. If the leaving date does not match, the request is rejected.
