Configuring Home Sales Forecast Views

Sales Forecast Views allows you to configure the columns to be shown in the Forecast Workbench. You can also set up different views that can be accessed from the Coins ERP+ menu.

You can configure a forecast view in one company and use it in other companies. Enter the company number as the value of the parameter FWBKCOFV.

  1. Go to HB CRM > Setup > Plot Sales > Sales Forecast Views.

  2. Add a new line.

    • The Divider Width is the default width of the fixed pane on the left of the matrix. Columns marked as Fixed Columns show in this pane.

    • Tick Forecast Workbench if you want the view to be used on the Forecast Workbench. Only one view can have this box ticked. You can set up other views to be accessed directly from the menus.

  3. Click the link on the View column.

  4. For each column you want to include in the view, add a new line.

    • Column Label – The label that shows at the top of the matrix column.

    • Column Type – The type of information shown in the column. See below.

    • Fixed Column – Tick the box if you want the column to show in the left-hand, fixed pane.

    • Import Column – Tick the box if you want the column to be part of the import file when importing a sales forecast.

    • Column Width – The width of the column, in pixels.

  5. The details of the remaining columns depend on the information you want to show or update; see below:

    Plot information fields (display only)

    1. In the Column Type field, select one of the following:

      • Plot Standard Field. Shows one of the common plot fields.

      • Plot Database Field. Shows one of the plot-related fields from the database.

      • Plot RSP Field. Currently shows the same as Plot Database Field.

      • Construction Stage. Shows the forecast date for a selected construction stage.

    2. If you selected one of the above, a field with the same name is enabled; select or enter the actual field or construction stage you want to show.

    Event Dates

    1. In the Column Type field, select one of the following:

      • Sales Event Date

      • System Event Date

    2. A field with the same name is enabled; select or enter the event code.

    3. If you want users to be able to update the date in the forecast matrix, tick Updatable.

    4. If you want to ensure that dates are in the correct order (for example, completion date is after exchange date), set the Date Validation field to Later Than, and set Date to Check to a date that you want to come before the current date.

    5. If you want to highlight this date when it is overdue or is coming up soon, configure the alert as follows:

      1. In the Date Alert 1 field, choose Overdue or Upcoming.

      2. In the Alert Days field, enter the number of days to control when the date is highlighted.

        • For Overdue alerts, the cell will be coloured with the alert colour if the forecast date is more than this number of days in the past and the actual event has not been recorded.

        • For Upcoming alerts, the cell will be coloured with the alert colour if the forecast date is up to this number days in the future and the actual event has not been recorded.

      3. In the Alert Colour field, choose the colour to use to highlight the date cell.

      You can configure two more alert conditions. This means you could show the date as red if it is more than ten days overdue or amber if it is more than five days overdue. Alerts are processed sequentially, so the first alert that matches the condition is used.

    6. If you want the date to be updated with actual dates from the Sales Workbench when the update with actuals process is run, tick Update With Actuals.

    7. If you want the exchange or completion date for the plot to be updated with dates from the forecast, in the Plot Date Field to Update field, select either Expected Exchange or Expected Completion, and select the Forecast; only dates entered in the selected forecast will update the plot.

    Manual Date

    1. In the Column Type field, select Manual Date.

    2. If you want users to be able to update the date in the forecast matrix, tick Updatable.

    3. In the Forecast Record Identifier field, enter the code against which the value is stored in the forecast record table.

    4. If you want to ensure that dates are in the correct order (for example, completion date is after exchange date), set the Date Validation field to Later Than, and set Date to Check to a date that you want to come before the current date.

    Prices

    1. In the Column Type field, select one of the following:

      • Sales Event Price

      • System Event Price

      • Manual Price

      • Budget Price

      • Minimum Price

      • Original Appraisal Price

    2. If you selected Sales Event Price or System Event Price, a field with the same name is enabled; select or enter the event code.

    3. If you selected Manual Price, in the Forecast Record Identifier field, enter the code against which the value is stored in the forecast record table.

    4. The forecast matrix allows amounts to be shown per plot or per floor area. If you want the plot amount to always be shown even if per floor area is selected, tick Always Show Plot Amount.

      This allows you to configure columns that show the per floor area amount, but are not divided again by the floor area if the user selects the per floor area matrix view.

    5. If you want users to be able to update the price in the forecast matrix, tick Updatable.

    6. If you want the price to be updated with actual prices from the Sales Workbench when the update with actuals process is run, tick Update With Actuals. Then in the Actual Price Source field, select which price you want to update this price from, and in the Update Actual Price Status field, select when you want the price to be updated: At Reservation, At Exchange, or At Completion.

    7. If you want a plot budget price to be updated with the price from the forecast, in the Plot Price Field to Update field, select the price to update, and select the Forecast. Only prices entered in the selected forecast will update the plot. If you don’t want plot budget price to be updated, select <No Update> in the Plot Price Field to Update field.

    Plot Captions

    1. In the Column Type field, select Plot Caption.

    2. Select the Plot Caption Group and Plot Caption.

    3. The forecast matrix allows amounts to be shown per plot or per floor area. If the caption shows an amount, and you want the plot amount to always be shown even if per floor area is selected, tick Always Show Plot Amount.

      This allows you to configure columns that show the per floor area amount, but are not divided again by the floor area if the user selects the per floor area matrix view.

    4. If you want users to be able to update the caption in the forecast matrix, tick Updatable.

    Discounts, Incentives, Extras and Choices

    1. In the Column Type field, select one of the following:

      • Discounts/Incentives – The value of a selected discount or incentive.

      • Extras/Choices Value – The value of all extras or choices on the plot

      • Sales Choices - The value of a selected customer choice (if customer choices are being used).

      • Sales Extras – The value of a selected extra (if customer choices are not being used).

    2. If you selected one of the above apart from Extras/Choices Value, a field with the same name is enabled; select or enter the extra or choice.

    3. If you selected one of the above apart from Extras/Choices Value, in the Forecast Record Identifier field, enter the code against which the value is stored in the forecast record table.

    4. The forecast matrix allows amounts to be shown per plot or per floor area. If you want the plot amount to always be shown even if per floor area is selected, tick Always Show Plot Amount.

      This allows you to configure columns that show the per floor area amount, but are not divided again by the floor area if the user selects the per floor area matrix view.

    5. If you want users to be able to update the value in the forecast matrix, tick Updatable.

    6. If you want the price to be updated with actual prices from the Sales Workbench when the update with actuals process is run, tick Update With Actuals.

    Calculation

    1. In the Column Type field, select Calculation.

    2. In the Calculation field, enter the calculation string. This is a comma-separated list, with each entry being a mathematical operator (+, -, *, or /) followed by either a column number, or an actual number with an exclamation mark before it.

      For example: +12,/14 divides the values in column 12 by the values in column 14. +12-!10000 subtracts 10,000 from the values in column 12.

      If you re-sequence columns, each calculation referring to the re-sequenced column is amended automatically.

    3. In the Forecast Record Identifier field, enter the code against which the value is stored in the forecast record table.

    4. If you want a plot budget price to be updated with the price from the calculation, in the Plot Price Field to Update field, select the price to update, and select the Forecast. Only prices entered in the selected forecast will update the plot. If you don’t want plot budget price to be updated, select <No Update> in the Plot Price Field to Update field.

Security

Use Sales Event and Forecast Security to add user security to sales forecast views. In the Sales Forecast Views field, enter a list of the forecast view(s) the user is allowed to see; you can use wildcards. If you leave this field blank, the user has access to all views.

If a user does not have access to any views, the Sales Forecast tab displays the main view. If they don’t have access to the main view, the default view is the first of the forecasts they do have access to.

Parameters

HS/FWBKCOFV

Company to use for sales forecast view definition

The COINS company where the Sales Forecast view definitions are to be configured. All Forecast functionality will look at this company for the views configuration. If this is blank, each company has its own configuration of forecast views. For more information, see Configuring Home Sales Forecast Views.

Note you cannot use company 0 here.
