Payment Forms for additional payment options

New fields have been added to the "Create BACS" routine - 'Override Payment Method' and a BACS configurable form - to allow users to select which type of bank payment to use (BACS/FPS/CHAPS etc.). A Payment Method Override maintenance screen has been added for users to configure the payment method options.

SC Consolidated Payment Process

The Consolidated Payments Workbench enables your finance team to process Purchase Ledger (PL) and Subcontract Ledger (SC) payment runs across multiple companies from a single, centralised screen. Rather than logging into each company separately, authorised users can select invoices or subcontract certificates, generate BACS files, send remittances, and post payment batches for all companies in a defined group in one streamlined workflow. For construction businesses operating across multiple legal entities — whether subsidiaries, joint ventures, or regional divisions — managing supplier and subcontractor payments at group level has historically required significant manual effort. The workbench addresses this by allowing a central finance user to define a Company Group and run the full payment cycle across all included companies simultaneously, with consistent controls applied at every stage. The workbench is accessed from the Coins Central Repository and is available to users who have been granted the appropriate function permissions. It operates across both the Purchase Ledger and Subcontract Ledger modules, with each ledger following the same structured workflow: payment selection, manual adjustment, batch review, freezing, BACS file creation, remittance advice, and posting. At each key stage, a validation step must be completed before progressing, providing a clear control framework throughout the process. On posting, the system generates General Ledger, Cash Book, and ledger-specific reports in the background for each company in the group, ensuring a complete audit trail without additional manual steps. BACS output files are created per company using a configurable naming convention, and remittance advice can be distributed via email. Access to the workbench is controlled at the user level via Coins function permissions, and individual payment selection can be reviewed and adjusted per company before batches are frozen. This gives finance teams the flexibility to manage exceptions (such as accounts on hold, unverified subcontractors, or expired insurance) without disrupting the wider group payment run.

ESG Recording in PL/SC

ESG data can now be captured at the point of entry for PL invoices and SC certificates, with updates to the APIs and import templates. A new parameter has been added to enable ESG tracking, along with a new workbench for consolidated reporting.

Subcontract Certificate Definition

The Subcontract Certificate Definition has been updated to to allow for better selection and filtering by SC certificate definition. This will make finding subcontract orders linked to certificates easier to manage.

Add Hours to PL Invoices

A new 'Purchase Ledger Workspace' option has been added to the DISTHRS parameter. Hours can now be imported via the PL Invoice Import template when the DISTHRS parameter is set to the new value, closing a gap where hours could be entered manually but not imported.

Generic Email for Statements of Deduction - Sender Address

A new SC parameter 'SODFROM' has been introduced to allow a dedicated sender email address for Statements of Deduction, mirroring the existing SC/MAILFROM functionality used for remittances and certificates.

SL/CS Invoices - Electronic Invoicing Standards

Sales Ledger and Contract Sales invoices have been updated to enable the automated generation and transmission of UBL-formatted invoices through the PEPPOL network infrastructure, supporting compliance with EN 16931 European e-invoicing standards.

PL Parameter VAT%CHK

A new 'E-Error' option has been added to the PL Parameter VAT%CHK, which defines the response to a failed validation check for incorrect VAT percentages. The parameter can now be set to W-Warning, E-Error, or None.

Payment Times Reporting Scheme

New functionality has been introduced to support adherence to the latest Payment Times Reporting Scheme requirements. The SC/TAXRULES parameter must be set to AUS to enable this functionality. A new menu has been created in the VAT module titled 'Payment Times Information. This is only displayed when the CO/COMPLOC parameter is set to AUS, and contains two functions: Export Company ABN Numbers and Payment Times Extracts. The Export Company ABN Numbers function produces an Excel document that can be imported into the SBI tool. It will only extract data related to companies linked to CIW and of type 'Subcontract' or 'Supplier'. The Payment Times Extract produces a PDF file with detail and an Excel file with summary information only. It filters data based on the Business Entity and Supplier/Subcontract selections.

Payment Times Reporting Scheme Report (Australia)

The Payment Times Reporting Scheme Report has been updated for the new framework features. New reporting framework features:

  • Consolidated group reporting has replaced the entity-by-entity approach

  • Revenue threshold is now based on consolidated accounting revenue (not tax income)

  • Enhanced Small Business Identification Tool integration

  • New datasets added: Trade Credit Payments Dataset and Small Business Trade Credit Dataset

PPP Regulation Reporting

Updates have been made to support Prompt Payment Practice (PPP) regulation reporting.

  • When viewing a SC Certificate, if the payment date is later than the due date, a tickbox is now shown next to the Status field to indicate whether there was a dispute or no dispute. These invoices are then counted in the Prompt Payment Practice (PPP).

  • A 'Dispute' section has been added to the Approve tab in Purchase Ledger Invoice Details.

  • New columns have been added to both the PDF and Excel output for the Payment Practices and Performance with Values report to show the number of disputed and undisputed invoices or certificates not paid on time.

Invoice Type Column in Invoice Matching

When entering an invoice in Purchase Ledger and creating a batch, 'Invoice Type' has been added as a column option in the Matching tab of the Invoice Details screen. This will enable users to distinguish call off orders from regular invoices and reduce matching errors.

Supplier Audit Report - Supplier/Subcontractor Name and Number

The Supplier Audit Export has been enhanced to include Supplier/Subcontractor Name and Number, improving traceability within exported audit data.

Coloured Desktops and Icon Improvements

Users can now choose from additional desktop colour palette schemes. Icons have been improved for colourblind accessibility - red/amber/green icons now have status badges, and paperclip and notes icons now have dot indicators for unread items. The Undo button now includes a confirmation prompt to prevent accidental misclicks. The Activity Workbench number has been added back to the header bar to indicate the number of unread items.

Unread Reports Indicator

The number of unread reports has been added back to the reports icon, replacing the dot indicator. This makes it easier for users to see at a glance how many reports are awaiting their attention.

Coins ERP+ Intercom Integration

Intercom has now been fully integrated into Coins ERP+ as a digital assistant, providing a direct channel to raise support issues. The digital assistant icon is placed to the left of the reports icon in the header, and links on the landing page and side-frame help have been rerouted to the new Intercom-based help centre. The cookie policy has also been updated to cover Intercom. A new function, %WSYINTERCOM, has been added to allow the disabling of Intercom for certain users or groups.

Wootric Integration

Wootric NPS survey integration has been added to gather user feedback on Coins ERP+. A new SY parameter, SUREVEY_OUTPUT, has been added to allow these surveys to be disabled.

Extracts Integration Improvements

Multiple enhancements have been made to the data extracts framework.

  • A warning is now given if Extract Data finishes with any of the extracts left on hold. An "Email on Error/Warning" tickbox has been added to the output options, enabling email notifications whenever the extract finishes with a warning or error.

  • An "Extract on hold" column to has been added to the "Entity Maintenance" and "Extract Maintenance" browse screens.

  • The "Last Data Lake Extract" date and time is now stamped when starting the initial extract, not when finishing.

  • A "Reconcile SQL Record Count" tickbox has been added to the Extract Data main tab. If ticked, the extracted records will be recounted on the SQL side, with a warning issued if there are any discrepancies.

  • Two new SY parameters have been added to further control the detailed logging for extracts: SY/EXLOGEX to set level 3 logging for specific extracts and SY/EXLOGCDC to set level 3 logging for specific CDC triggers.

  • It is now possible to extract data for specific financial periods, with each extract landing in a separate period-specific folder in data lake.

  • Deleting a workspace now gives an error if datasets and reports have already published to the workspace, and a warning if the workspace is empty.

  • The REST option is no longer visible on the "Set Extract" function for customers without a REST licence.

  • A Save button has been added to the SQL editor, to enable saving written queries in Coins ERP+.

  • The Extract Agent now continues pushing records to the SQL database even when the MS Fabric is paused.

CLOB Support for JsonReader:getRecords

The getRecords method in the JsonReader class now supports the CLOB data type in temp-tables, enabling REST services to handle large text or file data via CLOB fields.

Human Capital Management

Ireland Pension Auto-Enrolment

Ireland's MyFutureFund (NAERSA) pension auto-enrolment is now supported within Coins ERP+. This includes AEPN download and processing, AE contribution submissions via the ROS Workbench, employee notifications and payslip messages, and correction handling within NAERSA's permitted time window.

Personnel Notes in Column Sets

The Personnel Notes paperclip field is now available as a selectable column in the HR Personnel Workbench column sets, allowing users to see, at a glance, which personnel records have associated notes.

Run Union Detail Report by Analysis Set

An Employee Selection tab has been added to the Union Detail Report, enabling users to filter results by payroll department. This allows clients with employees across multiple companies to run union reporting separately per company.

P60 Form Update Effective April 2026

The UK P60 form has been revised in line with HMRC's updated template, effective for tax year-end 2025–26. This is a legislative requirement; employers must issue the updated form to employees following the end of the tax year. This feature was also released in the 23 February 2026 Maintenance Update for Coins ERP+ v12.04 and v12.05.

PAYE RTI New Student Loan Plan Type April 2026

Student Loan Plan 5 is now supported in PAYE RTI submissions, effective 6 April 2026. Plan 5 operates in the same way as Plans 1, 2, and 4, with repayments at 9% on earnings over £25,000 per annum. Employers will begin receiving SL1 start notices for Plan 5 borrowers from March 2026. This feature was also released in the 09 March 2026 Maintenance Update for Coins ERP+ v12.04 and v12.05.

PAYE RTI Removal of 'State Aid' Items from EPS

The five state aid sector data items (items 199–203) have been removed from the Employer Payment Summary (EPS), in line with the legislative change effective 6 April 2026. Employers claiming Employment Allowance will no longer need to declare a state aid sector. This feature was also released in the 09 March 2026 Maintenance Update for Coins ERP+ v12.04 and v12.05.

Company-Specific State Configuration

A new company-specific state table has been created for Australian states to resolve conflicts where AUS and USA share the same state codes (e.g. WA). This allows clients operating payrolls across multiple regions in a single Coins database to configure state codes independently per company.

Accrual Balances Report

The summary version of the Leave Accrual Booking Report has been updated to include a new 'Hours Taken' column for the selected date range. This enables clients to reconcile accrued balances more effectively.

PAYE RTI Affecting Statutory Parental Bereavement Pay

RTI has been updated to support Northern Ireland's second phase of Statutory Parental Bereavement Pay, effective 2026–27. Three new data items have been added to the Full Payment Submission (FPS) and two to the Employer Payment Summary (EPS) to separately report NI-specific miscarriage payments and Day 1 parental bereavement rights. This feature was also released in the 09 March 2026 Maintenance Update for Coins ERP+ v12.04 and v12.05.

SuperPay Enhancements

Australian payroll has been enhanced to support SuperPay Day requirements, including the ability to capture Medicare Levy Surcharge (MLS) as a percentage-based tax calculation on top of PAYG, and annual capping of Superannuation Guarantee (SUPG) and Qualifying Earnings (QE) contributions in line with the ATO Maximum Contributions Base. This feature applies to the AUS region only.

AUS Payroll Pay Items

A new Pay Item field has been added to the AUS employee Pay Calc screen to make the pay item visible and ensure it is correctly updated when a Pay Calc code is added or copied, bringing AUS in line with USA behaviour. This feature applies to the AUS region only.

Parental Pay Input

Statutory Paternity Pay (SPP) eligibility for leave no longer requires 26 weeks of continuous employment for births or adoptions on or after 6th April 2026, making it a day one right. The 26-week continuous employment condition is retained for SPP pay eligibility, consistent with other parental pay types. This feature applies only to the UK region. This feature was also released in the 06 April 2026 Maintenance Update for Coins ERP+ v12.04 and v12.05.

mCare Inspection History

Customer Care Call Review Improvements

Improvements have been made to the CC call review process:

  • Basic call details can now be updated from the To Review tab. If the Call Manager is changed, the same person will automatically be assigned as the Issue Manager for all issues associated with the call.

  • Hyperlinks have been added to the Open Issues column in the To Review tab. Users can click these links to open a browse of the open issues related to each call. Issue details can be updated from this new browse.

  • Calls can now be marked as reviewed from the call summary via a new 'Mark as Reviewed' button on the command bar.

  • A new HB CRM parameter CCREVCHK has been added. When set to Y, this enables validation to check that all call and issue fields have been completed with valid values before a call can be marked as reviewed.

REST Webservice HSREST028

Plot Analysis Sets in Marketing Lists

Support for plot analysis sets has been added to the marketing list rules. A new 'Plot Analysis' option has been added to the Criterion drop-down when configuring rules for a sales list. When selected, the new 'Plot Analysis Set' and 'Plot Analysis Values' fields become available. The 'Plot Analysis' option is only available if at least one plot analysis set has been configured, and the new fields are only applicable if the source of the sales list is 'Plot Sales' or 'Provisional Reservation'. ESB process HSPESB006 (which controls the evaluation of which purchasers/plots are assigned to a specific sales marketing list) has been updated to include the checking of any plot analysis set rules, so that only plots with matching analysis set values are included in the sales list. New database fields have been added to the Sales List Criteria table to enable this functionality.

Sales Forecast - Update with Actuals across Multiple Developments

Within the HB CRM sales forecast matrix, there is an 'Update with Actuals' option which can be used to update the forecast with actual dates and prices from the Sales Workbench. Previously, users had to do this development by development, and also potentially for each forecast view and forecast type they have configured. To speed up this process, a new 'Update with Actuals' report has been added to the HB CRM > Forecasting menu to enable the 'Update with Actuals' action to be run for multiple developments, forecast types and forecast views at once.

Subcontract Maintenance - Stage Updates

Site Overheads VAP Budget Snapshot Comparison

In the Site Overheads workbench, users can view a snapshot of the site overheads items at the point the VAP budget was last updated. To help speed up the CVR reconciliation process, a new snapshot comparison screen and report have been added, allowing users to see the movement between the current site overheads items and/or a VAP budget snapshot. This new screen and report can be accessed via the 'Snapshot Comparison' and 'Budget Snapshot Comparison Report' options respectively, under the Print command bar button on the Site Overheads workbench.

BOQ VAP Budget Snapshot Comparison

New functionality has been introduced to allow VAP budget snapshots to be viewed and compared from both the Development House type and Plot BOQ workbenches. The existing 'Update VAP Budget' command bar option in both workbenches has been changed to a drop-down button and renamed 'VAP Budget'. The drop-down contains the following options:

  • Update VAP Budget: same functionality as the previous command bar option.

  • View VAP Snapshot: allows the user to select a VAP snapshot and view the bill items that were captured in the snapshot.

  • Compare VAP Snapshot: allows users to compare VAP budget snapshots with each other and with the current set of bill items.

  • Comparison Report: allows users to report on the differences between VAP budget snapshots and with the current set of bill items.

BOQ Matrix Totals

Bill Items Import/Export - House Type Dependent Column

BOQ Global Configuration

Several BOQ maintenance functions can now be configured across multiple companies at once, saving time for users when many companies require the same setup. Two new parameters have been added to enable this functionality:

  • BQ/GLOBCONF - This allows users to select which maintenance functions should be configured globally. The options are Bill Resources, BQ Estimating Sections, and Bill Items Import/Export Formats.

  • BQ/GLOBCKCO - This defines the base company from which other companies will take their configuration for the items listed in GLOBCONF.

Spotler Connect Integration Improvements

When receiving the campaign interactions from Spotler Connect, a new campaign interaction type 'SMS_was_bounced' has been introduced. The rest service HSREST113 has been updated to cater for this new interaction type. Three new Spotler parameters have been added to define the event codes to be used for each scenario:

  • PROEVSB - Prospect event for a bounced SMS

  • PLTEVSB - Plot sales event for a bounced SMS

  • CCEVSB - Customer Care event for a bounced SMS

The campaign date range fields have been removed when creating a new campaign via Spotler Connect, as they are not required. They have also been removed from the REST service WXHSREST111, which returns a list of campaigns. Please contact your Account Manager for further information on this integration.

Site Works Notifications

New functionality has been introduced to allow users to setup email notifications to inform the purchasers/occupiers of plots on a development of any significant works that are happening on their development. These notifications are configured in the Site Works Notifications function in the Customer Care - Development workbench. Reminder emails can also be optionally scheduled for each notification. A new 'Site Works Notifications' template has been added to the Email/SMS Templates HB CRM function, allowing users to setup the email template for the initial and reminder emails.

AccessYourHome Customer Portal - Coins ERP+ Functionality

mCare Enhancements

Module: Inspections

A new Meter Readings Not Required checkbox has been added against each inspection type in the Inspection Types browse. The Mobile Configuration Check process has been updated to include this new checkbox. In addition, two new parameters have been added to Mobile Configuration Definitions:

  • CCREPTASKSIG - when set to Y, repair task signatures become mandatory.

  • CCMINPHOTOISSINC - when set to Y, the minimum photo requirement will be disabled when an issue is flagged as incomplete.

Plot Choice Selection Alerts

In Copilot, a new REST service has been added to the HB CRM plugin to look at reserved and exchanged plots for a specified site and check each specification area for the earliest cut-off date. A plot will be identified as being at 'choices selection stage' if any of the areas have a cut-off date within the number of days range specified by the user. A new 'CHSCOMP' event type has been added to the Sales Workbench, allowing users to flag that all choices have been entered for a plot. Once this event has been run, the plot will be excluded from Copilot queries and notifications. A new background report has been created to allow for notifications of plots at 'choices selection stage'. If users require notifications about this, the report will need to be scheduled to run each morning to check for plots with choices due within a date range set in the new CHONOTDY parameter.

HB CRM Webservices - 'Level of Interest' Field

The 'Level of Interest' field was added to Required Development records in a previous update. This field has now been added to the following methods of the HB CRM connection prospect webservice (hswshvi1.p):

  • addProspect

  • updateProspect

  • addDevelopment

It has also been added to the Prospects and People webservices HSREST042 and HSESB042 and the Prospects webservice HSESB039.

Sending PX Reservations via Webservices

A new part exchange (hs_partex) sub-section has been added within the existing hs_trans body of the plot reservation REST and ESB webservices (HSREST036 and HSESB036). This new section includes most of the fields from the Property Details tab on the Part Exchange Workbench, excluding the management company fields. If sales schemes are in use, the webservices will observe the defined PX handling:

  • If no PX is allowed and the user submits a request with a PX, an error will be raised.

  • If a PX is mandatory and the user submits a request without a PX, an error will be raised.

Building Prospect Campaign Audience using 'Looking to Move Between' Dates

Only prospects looking to move within the specified range of months will be included in the campaign. 'Looking to Move Between' criteria have also been added to the Campaign Templates setup, allowing users to select default values for each field.

Multiple Document Attachments in Coins Emails

Multiple Complaint Stage Paths

It is now possible to configure multiple different sets of complaint stages for a company. This enables separate complaint workflows for compliance with separate regulatory requirements - for example, one path for NHQB complaints and one path for Awaab's Law damp and mould cases.

  • When opening the Complaint Stages function, the user is now presented with a new 'Complaint Stages Paths' browse, allowing them to define multiple sets of complaint stages.

  • When adding a new complaint-based call, the set of complaint stages to be created will be based on the associated 'Complaint Stages Path'.

  • A new drop-down selector has been added to the Complaints Kanban to allow users to select the 'Complaint Path'. The Kanban columns are based on the selected path, and only calls relating to the selected path are shown.

  • Each complaint path now has its own section on the Customer Care desktop (with up to three complaint paths shown at one time), with the tiles in each section dependent on the associated complaint path.

  • Call type selection has been added to the selection criteria for the Initialise Complaint Stages function, as this can now update multiple call types.

A new Company Groups field has been added to the Details tab on the User Workbench. This field can be populated with a company group or list of groups, which will then auto-populate the Companies field immediately in the UI. Company groups are configured in Company Group Maintenance, and the Sync User Companies with Company Groups report can be run to update the company list for every user assigned to a company group after that group has been updated.

Activity Workbench Access

Previously, when multiple users required access to each others' Activity Workbench, administrators were required to manually maintain workbench access for each user individually - entering user IDs as comma-separated strings every time someone joined, moved, or left the team. This manual process was time-consuming, error-prone, and created compliance risk through inappropriate access provisioning. With this release, it is now possible to enter tags in the View/Update fields on the Activity Workbench User Details/Access Maintenance screens to grant access to the workbenches of all users belonging to that tag. Any changes made to the tag - whether adding or removing users - are automatically reflected across all assigned users, eliminating the need for individual updates. Multiple of these groups can be configured to support varying access requirements across different teams or roles. This enhancement significantly reduces administrative overhead, accelerates onboarding, and ensures access remains accurate and aligned with the organisation's control framework.
